Requirements:
  • Consistently reliable and punctual, respecting and adhering to schedules and deadlines
  • Exceptional English communication skills, both written and verbal, with the ability to articulate ideas clearly and bring clarity to complex information.
Responsibilities:
  • Serve as the Executive’s second set of eyes and ears—ensuring nothing slips through the cracks
  • Monitor key project components housed in Google Drive and flag items that require review or approval
  • Act as a liaison between the Executive and internal teams, including the Project Manager, to support alignment and accountability
  • Monitor ongoing projects by regularly checking in with the current Project Manager to ensure critical items are progressing and meeting expectations.
  • Organize and maintain project documentation within Google Drive, ensuring all client-related materials are accurately stored and easily accessible by project phase.
  • Assist in building and maintaining a regular newsletter to stay engaged with the Executive’s network and re-engage former clients and leads
  • Repurpose existing content (e.g., LinkedIn posts) into newsletters—no original copywriting required
  • Maintain and cultivate key relationships across multiple platforms, including email, LinkedIn, referral networks, and strategic partnerships
  • Proactively reach out to former clients, prospects, and contacts to keep the network active and engaged
  • Monitor and prioritize the Executive’s inbox to ensure important messages are addressed efficiently.
  • Draft, respond to, and escalate communications as needed — maintaining tone and professionalism.
  • Collaborate to design and implement an organized CRM system that captures key information currently stored informally, ensuring leads and contacts are trackable and manageable
  • Oversee data entry and maintenance of lead sources, interaction histories, company information, and communication reminders
  • Develop workflows, reminders, and campaign cadences to maximize lead follow-up and conversion
