Requirements:
- Fluent in both English and Spanish (written and verbal).
- Previous experience as an Executive Assistant or Personal Assistant.
- Strong organizational skills with the ability to juggle multiple priorities.
- Experience supporting sales teams or executives in a client-facing environment.
- Proficiency in Google Workspace, Slack, and HubSpot CRM (or similar tools).
- High level of discretion in handling confidential information.
- Self-motivated, resourceful, and comfortable working independently.
Responsibilities:
- Prioritize, organize, and draft professional email correspondence across multiple inboxes.
- Coordinate meetings, appointments, and events across various schedules, including both business and personal commitments.
- Assist with business development efforts by updating the CRM (HubSpot), researching prospects, and supporting follow-ups.
- Prepare documents, manage digital files, and provide general administrative support.
- Organize business and personal travel, including booking flights, accommodations, and creating detailed itineraries.
- Support with tasks such as appointment scheduling, online orders, event planning, and general life admin.
- Utilize HubSpot CRM, Slack, and Google Workspace to support communication, task tracking, and workflow.
- Keep track of important deadlines, recurring tasks, and daily priorities.
