Requirements:
  • Fluent in both English and Spanish (written and verbal).
  • Previous experience as an Executive Assistant or Personal Assistant.
  • Strong organizational skills with the ability to juggle multiple priorities.
  • Experience supporting sales teams or executives in a client-facing environment.
  • Proficiency in Google Workspace, Slack, and HubSpot CRM (or similar tools).
  • High level of discretion in handling confidential information.
  • Self-motivated, resourceful, and comfortable working independently.
Responsibilities:
  • Prioritize, organize, and draft professional email correspondence across multiple inboxes.
  • Coordinate meetings, appointments, and events across various schedules, including both business and personal commitments.
  • Assist with business development efforts by updating the CRM (HubSpot), researching prospects, and supporting follow-ups.
  • Prepare documents, manage digital files, and provide general administrative support.
  • Organize business and personal travel, including booking flights, accommodations, and creating detailed itineraries.
  • Support with tasks such as appointment scheduling, online orders, event planning, and general life admin.
  • Utilize HubSpot CRM, Slack, and Google Workspace to support communication, task tracking, and workflow.
  • Keep track of important deadlines, recurring tasks, and daily priorities.
