Requirements
- Bring strong production and logistics expertise.
- Be able to execute complex event production, including venue selection, vendor management, and onsite coordination, with light oversight.
- Demonstrate project management and organizational skills across multiple workstreams and detailed stakeholder timelines.
- Build productive relationships with venues, vendors, and team members while maintaining professionalism and high standards.
- Be comfortable making production decisions within your scope in a fast-paced environment.
- Understand the AI existential risk landscape or be motivated to learn about it.
- Take ownership, investigate problems, propose solutions, and move work forward proactively.
- Solve complex problems independently under pressure, onsite or offsite.
- Build and improve processes, systems, and documentation that support scale.
- Coordinate people around shared deadlines and help colleagues and contractors get unstuck.
- Use or be able to work with project management systems such as Asana.
Responsibilities
- Translate event strategy into production plans, including venue and vendor choices and a run of show.
- Coordinate team deadlines, workflows, and delivery across multiple workstreams.
- Maintain and improve project management systems, including Asana, with milestones and interdependent workflows.
- Support team members in meeting deadlines, resolve issues, and manage contractors.
- Evaluate venues against event requirements, budget, and scope, and recommend a shortlist and first choice.
- Negotiate venue contracts and serve as the primary venue contact.
- Own event budgets, identify cost optimizations, and coordinate budget scope and trade-offs with operations.
- Source and coordinate vendors for transport, security, AV, signage, and catering.
- Plan technical production, room layouts, AV setups, and onsite inventory.
- Coordinate onsite logistics and resolve production issues.
