Requirements
- Have relevant healthcare, administrative, customer service, or patient-facing work experience.
- Be proficient in speaking and writing clear, professional English.
- Be available for the required 40-hour workweek, Monday through Friday.
- Be available for work hours of 8:00 AM–5:00 PM Central Time.
- Have no concurrent employment during scheduled working hours.
- Submit an NBI Clearance and/or Local Police Clearance before onboarding.
- Maintain HIPAA-compliant work practices and patient confidentiality.
- Have a reliable laptop or desktop computer and high-speed internet of at least 25 Mbps.
- Have a noise-canceling headset and webcam, and a quiet, professional work environment.
- Be comfortable with virtual training, coaching sessions, remote team huddles, and video meetings with the camera on when required.
- Preferred: 1–3 years of relevant patient-facing or healthcare experience.
- Preferred: Experience with prosthetics and orthotics, DME, medical scheduling, patient access, referral and prescription coordination, insurance information, or physician offices.
Responsibilities
- Handle inbound and outbound patient inquiries through phone, email, chat, and text.
- Contact patients following an inquiry, referral, or prescription and gather demographic, insurance, referral, prescription, and relevant clinical information.
- Explain scheduling requirements, next steps, and expectations, and address patient questions and concerns.
- Follow up with patients who have incomplete information or outstanding requirements.
- Schedule prosthetic and orthotic appointments at the appropriate clinic based on patient needs, location, device type, documentation status, and provider availability.
- Coordinate with patients, physician offices, intake, billing, clinic teams, and support departments to resolve barriers to care.
- Review required documentation and accurately maintain patient information in applicable systems.
- Document patient interactions, outreach attempts, appointment details, and follow-up actions.
- Escalate difficult concerns, incomplete documentation, unreachable patients, and workflow barriers to the appropriate supervisor or department.
- Protect patient confidentiality and follow HIPAA standards in documentation and communication.
