Requirements
- Bachelor's degree in Business Administration or a related field; equivalent professional experience may be considered.
- 7+ years of progressive experience in administrative services, operations, contracting, client services, or related disciplines.
- 5+ years of direct people-management experience, ideally in professional services or a Center of Excellence environment.
- Ability to balance hands-on execution with delegation, team development, and process improvement.
- Proficiency with Microsoft 365 and experience with client contracting platforms, ERP systems, spend management tools, or comparable enterprise technologies.
- Ability to apply data-driven productivity and AI-enabled tools to drafting, editing, research, analysis, and operational workflows.
- Strong project management skills and ability to manage competing priorities across multiple service lines and meet deadlines.
- Written and verbal communication skills, including experience preparing and reviewing contracts and executive-level materials.
- Analytical and process-improvement capabilities focused on service optimization, scalability, and operational efficiency.
- Stakeholder-management, strategic-questioning, consultative problem-solving, and cross-functional collaboration skills.
- Sound judgment, service orientation, and discretion in handling sensitive and confidential information.
- Ability to work remotely or in a hybrid environment; less than 10% travel required for on-site assets and team meetings.
Responsibilities
- Recruit, onboard, coach, develop, and manage a centralized team of administrative operations professionals.
- Establish service standards, service-level agreements, quality benchmarks, and performance measures.
- Monitor service levels, workload, timeliness, quality, and team capacity, and manage escalations and prioritization.
- Provide hands-on support for complex or high-priority work when needed.
- Develop Center of Excellence structures, team rosters, RACI matrices, workstream coverage, processes, and operating practices.
- Align administrative support capacity with consulting engagement requirements and collaborate with HR and operations leadership on staffing and team development.
- Oversee contracting operations, including tracking Statements of Work through negotiation, signature, completion, and client and engagement setup.
- Partner with Legal, Finance, and business stakeholders on contract compliance, templates, approval workflows, repositories, and contracting processes.
- Oversee document production and document management standards, including formatting, editing, quality review, version control, and template libraries.
- Manage research services and oversee executive calendars, scheduling, expense processing, billing coordination, and related administrative activities.
