Requirements

  • Proven experience as a seasoned administrative professional supporting multiple senior leaders.
  • Expertise in managing complex operations, cross-time-zone scheduling, and end-to-end travel arrangements.
  • Proficiency with Google Workspace, MS Office, ClickUp, and Calendly.
  • Experience using generative AI and automation tools (e.g., Gemini, Claude, Copilot).
  • Strong emotional intelligence and communication skills for building relationships.
  • High attention to detail and ability to maintain precision in operations.
  • Capacity to work proactively and autonomously in a fast-paced environment.
  • Adaptable and service-oriented mindset with the ability to manage conflicting priorities.

Responsibilities

  • Own and drive calendar management for complex internal, client-based, and project-based scheduling.
  • Proactively prioritize and strategically manage conflicting appointments.
  • Manage end-to-end travel, including flight, hotel, and transportation arrangements.
  • Handle budget tracking and ensure accurate expense reconciliation for project billing.
  • Lead end-to-end virtual logistics for meetings, including registration and troubleshooting.
  • Oversee in-person event operations, from venue sourcing to catering and attendee coordination.
  • Collaborate with internal teams on meeting agendas and culture-building activities.
