Requirements
- 3+ years of relevant professional experience, including at least 6 months of experience in residential property management.
- At least 1 year of experience supervising or leading a team, preferably including remote employees.
- Demonstrated experience with work order tracking, dispatch, documentation, and end-to-end work order and purchase order processes.
- Strong understanding of property management software, with the ability to maintain data integrity through auditing, validation, testing, and accurate data entry.
- Proven ability to build, motivate, coach, and develop high-performing teams in a remote environment.
- Strong process orientation, with the ability to implement, explain, and train others on standardized procedures and workflows.
- Proficiency with word processing, spreadsheets, databases, and multiple software applications in a paperless work environment.
- Excellent customer service and communication skills.
- Strong organizational and analytical skills with the ability to manage multiple priorities.
- Ability to travel up to 20%.
Responsibilities
- Lead and provide day-to-day oversight, coaching, mentoring, and performance management for a remote team of Service Center Coordinators.
- Ensure established procedures for work order prioritization, processing, documentation, and closure are consistently followed.
- Oversee work order and purchase order data, reviewing records for accuracy, completeness, and consistency within property management systems.
- Monitor work order KPIs, closure rates, response times, and other operational metrics, preparing regular reports and identifying areas requiring attention.
- Investigate inconsistencies involving maintenance, property turnover, documentation, or purchasing processes and coordinate appropriate corrective action.
- Communicate regularly with local property management leadership regarding recurring issues, overdue work orders, incomplete documentation, customer concerns, and other matters requiring escalation.
- Support the resolution of escalated customer service matters with professionalism, responsiveness, and a strong focus on resident satisfaction.
- Train team members on standard operating procedures, workflows, accountability, business objectives, financial considerations, and sound decision-making.
