Requirements
- At least 2 years of experience in customer service or an office-based environment, preferably within a regulated industry.
- Bachelor’s degree in a related field is preferred.
- Intermediate computer skills with proficiency in Microsoft Office, particularly Word and Outlook.
- Strong ability to manage administrative tasks, documentation, deadlines, and multiple priorities with consistent accuracy.
- Demonstrated focus and precision when reviewing information and processing documentation.
- Clear verbal communication skills, including active listening, comprehension, responsiveness, and professional interaction.
- Ability to provide responsive, empathetic, and professional support.
- Comfortable identifying issues, gathering missing information, and escalating concerns appropriately.
- Ability to understand and follow instructions, learn new processes, and develop knowledge of clinical research workflows.
- Comfortable working independently in a fully remote setting while collaborating effectively with distributed teams.
Responsibilities
- Serve as the primary point of contact for sponsors, CROs, principal investigators, and clinical research sites regarding assigned submissions.
- Process assigned submissions accurately and efficiently while meeting established turnaround times and client requirements.
- Conduct thorough reviews of submission materials, identify missing or incomplete information, and coordinate with study and site personnel to resolve issues.
- Accurately document client requirements, organizational guidelines, protocol notes, and other relevant submission information.
- Assist the broader team with task reassignments and coordinate documentation required for foreign-language translations.
- Maintain a high level of attention to detail and collaborate with quality control teams to identify and minimize errors.
- Respond proactively to customer inquiries and escalate concerns to supervisors when appropriate.
- Participate in initiatives designed to improve workflows, service quality, and operational efficiency.
- Complete required training and participate in relevant conferences or workshops.
- Progressively handle increasingly complex submission types.
