Requirements
- 3+ years of experience in administrative, office coordination, dispatching, scheduling, or customer service role.
- Experience supporting service-based industries such as landscaping, irrigation, construction, home services, HVAC, plumbing, electrical, or similar environments preferred.
- Strong ability to multitask and prioritize in a fast-paced setting.
- Exceptional communication and customer service skills.
- Highly organized with strong attention to detail.
- Comfortable managing multiple moving pieces simultaneously.
- Self-starter who works effectively with minimal supervision.
- Process-minded individual who enjoys creating structure and improving efficiency.
- Proficiency with Microsoft Office, Google Workspace, and business software systems.
Responsibilities
- Serve as the primary point of contact for incoming customer calls and inquiries.
- Manage high-volume phone and email communication with clients.
- Schedule service appointments and coordinate technician calendars.
- Dispatch crews and communicate schedule updates throughout the day.
- Create, update, and maintain work orders.
- Track project and service status to ensure timely completion.
- Communicate proactively with customers regarding scheduling, delays, and service updates.
- Support administrative functions including data entry, document management, and reporting.
- Collaborate closely with field crews and leadership to ensure seamless operations.
- Identify inefficiencies and help develop new processes, workflows, and best practices.
