Requirements
- Previous experience in customer service, virtual assistance, scheduling, dispatch, administrative support, or a similar role.
- Excellent spoken and written English communication skills.
- Comfort answering and making phone calls regularly, with a professional, friendly, and confident telephone manner.
- Strong organizational and time-management skills, with high attention to detail when recording information and scheduling appointments.
- Ability to manage multiple conversations, appointments, and administrative tasks without losing track of details.
- Ability to work independently, follow through without constant supervision, and remain responsive and reliable.
- Ability to remain calm and professional with frustrated customers and changing schedules.
- Experience using CRM or customer management systems, or a strong advantage in this area.
- Experience with scheduling or calendar management tools.
- Proficiency with email and online communication platforms, spreadsheets, and basic administrative systems.
- Dispatch, field-service, or appointment-management software experience is a strong advantage.
- Plumbing, HVAC, electrical, construction, home-services, technician coordination, billing, or customer follow-up experience is a nice-to-have.
Responsibilities
- Answer inbound customer calls and inquiries, collect customer and lead information, and document it in the appropriate systems.
- Make outbound calls for customer follow-ups and appointment coordination, and manage email, inbox, chat, and other customer communications.
- Schedule plumbing appointments based on customer needs and technician availability.
- Coordinate dispatch, communicate appointment information to customers and plumbers, and address scheduling changes or conflicts.
- Maintain the business calendar, customer records, CRM entries, service history, and job notes.
- Provide routine administrative and front-office support for the plumbing business.
- Follow up with customers after completed services and request reviews or feedback as needed.
- Assist with invoicing, billing, payment processing, and follow-up when needed.
- Coordinate onboarding and scheduling for newly hired plumbers as the team grows.
- Identify issues requiring owner involvement, gather relevant information, and route escalated calls appropriately.
