Requirements

  • 5+ years of experience in compliance, regulatory operations, insurance licensing, legal operations, or a comparable role within a regulated industry.
  • Demonstrated experience owning deadline-driven regulatory processes with sound judgment when handling confidential information.
  • 5+ years of hands-on experience with entity licensing, state registrations, or comparable regulatory processes.
  • 5+ years of experience working with outsourced service providers, reviewing deliverables, and maintaining independent internal records.
  • 5+ years of experience supporting formal governance or committee processes, including preparing agendas and documenting minutes.
  • 5+ years of strong document and records management experience with excellent attention to version control and audit-quality documentation.
  • At least 2 years of advanced experience with Microsoft 365 and/or Google Workspace, including building trackers and reporting.
  • Strong organizational skills, attention to detail, accountability, and the ability to identify and escalate risks early.

Responsibilities

  • Own the enterprise regulatory calendar, including filing deadlines, license renewals, committee meetings, regulatory exams, and training requirements.
  • Serve as the primary internal contact for third-party licensing and Secretary of State vendors, coordinating documentation and resolving deficiency notices.
  • Maintain an independent state-by-state record of licenses, registrations, expiration dates, and fees.
  • Manage responsible-person and producer designations while monitoring external providers against agreed deadlines.
  • Provide end-to-end administrative support for the Compliance Committee and its subcommittees.
  • Prepare and submit Compliance-owned regulatory filings and maintain repeatable filing procedures.
  • Manage the centralized Compliance intake process, including logging, triaging, and routing incoming matters.
  • Coordinate external regulatory audits and market conduct examinations, including document requests and evidence gathering.
