Requirements:

  • Previous experience in medical document management, patient coordination, or healthcare administration is highly desirable.
  • Strong knowledge of medical terminology, HIPAA regulations, and medical record-keeping practices.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Effective communication and interpersonal skills, with the ability to interact professionally with patients, healthcare providers, and other stakeholders.
  • Proficiency in electronic health record EHR systems.
  • Attention to detail and a commitment to maintaining the confidentiality and privacy of patient information
Responsibilities:
  • Organize and track patient documents, including medical records, test results, treatment plans, and other healthcare-related documents.
  • Develop and maintain comprehensive project plans and timelines for document management activities, ensuring deadlines are met and tasks are completed accurately.
  • Serve as the primary point of contact for communication with healthcare providers, hospitals, and medical facilities regarding document requests and coordination.
  • Make outbound calls and emails to healthcare providers and hospitals to request medical records, diagnostic reports, imaging studies, and other relevant documents.
  • Follow up with providers and hospitals to ensure timely receipt of requested documents and resolve any issues or discrepancies.
  • Facilitate the distribution of medical records and documents to patients, healthcare providers, insurance companies, legal representatives, and other authorized parties.
  • Maintain accurate records of document requests, communications, and document distribution activities, utilizing electronic document management systems and databases.
  • Track and monitor the status of document requests, ensuring that all parties receive the necessary information within established timelines.
  • Conduct regular audits and reviews of patient documents to ensure accuracy, completeness, and compliance with regulatory standards, including HIPAA regulations.
  • Implement quality control measures to identify and address any errors, discrepancies, or missing information in patient records and documents.
  • Ensure that all document management processes adhere to organizational policies and procedures, as well as industry best practices.
